Forward a receipt or invoice from your inbox to your personal Traackly address, and it becomes an expense. Email forwarding is included on the Scale plan.

## Set it up

1. Open **Email** in the sidebar (on a phone, in the bar at the bottom).
2. Click **Generate Forwarding Address**. Your address looks like `receipts+…@traackly.com` and is switched on straight away.
3. Click **Copy**, then forward a receipt to it.

The page also has step-by-step guides for setting up automatic forwarding in Gmail and Outlook.

## What gets processed

- **Attachments:** photos in JPG, PNG, HEIC or HEIF up to 10 MB, and PDFs up to 10 MB. HEIC photos from iPhone are converted automatically.
- **One expense per email.** If an email has several attachments, Traackly looks at the first three and picks one, preferring a file named like an invoice, and a PDF over a photo. Forward each receipt in its own email.
- **No attachment?** Traackly reads the text of the email itself, for example an order confirmation.
- The attachment is saved with the expense, so you can view it later.

## Limits

- Up to 10 forwarded emails a day (UTC), including emails that are rejected.
- Each forwarded email uses one of your monthly Smart Scans.

If a limit is reached, the email is returned to the sender with an explanation, so nothing is lost silently.

## Choose a workspace

With more than one workspace, choose which workspace forwarded receipts go to. Otherwise they go to your default workspace.

## Email activity

The **Email Activity** list shows every forwarded email with its status: **Processing**, **Completed**, **Failed** or **Rejected**. Hover over a status to see why. Click **View expense** to open the expense it created.

Common reasons an email is rejected:

- The email had nothing that looks like a receipt.
- The same email, or an expense with the same merchant, amount, date and currency, was already added.

## Pause or change your address

- Use the **Email Forwarding** switch to pause forwarding. While it is paused, emails to your address are returned to the sender.
- Click **Regenerate** to get a new address, for example if your address was shared by mistake. The old address stops working immediately. You can create a new address up to 5 times a day.

## If you leave Scale

Your forwarding address is removed, and emails sent to it are returned. If you come back to Scale, you get a new address.
