Expense tracking 101: a simple guide for small businesses

What expense tracking is, why it matters, and a simple four-step routine any small business can keep up every week.

Expense tracking is the habit of recording what your business spends, keeping proof of each purchase, and looking at the numbers often enough that they tell you something useful. It doesn't have to be complicated. For most small businesses, a few minutes a day or a short weekly check-in is enough, and the payoff shows up all year, not only at tax time.

What is expense tracking?

Expense tracking means keeping a record of every business purchase: who you paid, how much, when, what it was for, and a copy of the receipt or invoice. Over time, those records add up to a clear picture of where your money goes.

It covers large purchases, such as equipment, and small ones, such as parking, postage and software subscriptions. The small ones are the ones that slip through.

Why it matters

  • You know where your money goes. Totals by category and by month show which costs are growing and which ones you could trim.
  • Cash flow is easier to manage. When you know what goes out each month, you can plan for quiet months and large bills.
  • Budgets become realistic. A budget built on real spending is far more useful than one built on guesses.
  • Tax time is smoother. Your accountant gets organized records instead of a box of loose paper.
  • Fewer receipts go missing. Capturing receipts as you go means you aren't hunting for them months later.

The four basic steps

1. Capture

Record each expense when it happens, or as close to it as you can. Keep the receipt, or a clear digital copy of it, together with the basic details: merchant, amount, date and how you paid.

2. Categorize

Put each expense into a category, such as software, travel, meals, office supplies or advertising. A short list that fits your business works better than a long list you never use. Our guide to business expense categories has a good starting list.

3. Review

Set aside a regular time to check your records. Look for missing receipts, duplicates, expenses in the wrong category and anything you don't recognize. A quick weekly look catches problems while they're still easy to fix, and once a month, compare your records with your bank and card statements so nothing slips past.

4. Report

Pull your expenses together by month, quarter or year. A simple report shows your total spending, your biggest categories and how this period compares with the last one. It's also the easiest thing to hand to your accountant.

Keep business and personal spending separate

One of the most helpful things you can do is use a separate bank account and card for the business. When business and personal purchases share an account, every statement needs sorting, and it's easy to miss a business cost or include a personal one by mistake.

If you ever pay for a business purchase with a personal card, record it right away and note that it was paid personally. Your accountant can tell you the best way to handle it.

Common mistakes to avoid

MistakeWhy it hurtsA simple fix
Waiting until year endReceipts fade or go missing, and details are forgottenCapture each expense the same day, or at least the same week
Mixing business and personalEvery statement needs sorting, and errors creep inUse a dedicated business account and card
No business purpose notedMonths later, nobody remembers what a purchase was forAdd a short note, such as "parking for the trade show"
Lost receiptsA charge on your statement has no detail behind itTake a photo of each receipt as soon as you get it
Too many categoriesSimilar expenses get filed in different placesStart with a short list and add more only when you need them

Spreadsheet or app?

There's no single right method. The best one is the one you'll actually use every week.

ReceiptsStored separately and matched by handAttached to each expense
Data entryTyped in by handOften read from a photo of the receipt

Best forA handful of expenses a monthRegular receipts, spending on the go, less typing

Whichever you choose, make sure it lets you:

  • record the date, merchant, amount, category and business purpose
  • keep a copy of each receipt with its expense
  • see totals by category and by month
  • export your records in a common format, such as CSV, so they are never locked in one place

A simple weekly habit

Pick a fixed time each week, such as Friday afternoon, and spend ten to fifteen minutes catching up: capture any receipts still in your wallet, car or inbox, check that each expense has a category, and sort out anything odd while you still remember the details. Our guide on how to organize business receipts walks through the full weekly routine and the monthly check against your statements.
