How to organize receipts without the paperwork

A short, steady routine for capturing, sorting and storing every business receipt, so year end is a quick handoff instead of a scramble.

Receipts rarely go missing all at once. They slip away one at a time: a few in an email folder you never open, a few in the car, and the rest in a drawer that gets sorted once a year, usually in a hurry.

The answer isn't more effort at the end of the year. It's a small, steady routine that takes a few minutes at a time. Here's the simple system we recommend. If you're new to tracking spending, our guide to expense tracking covers the basics first.

Capture each receipt the same day

The most useful habit is to deal with a receipt on the day you get it. Take a photo before you leave the counter or the parking lot, while you still remember what it was for.

Paper fades, tears and goes through the wash. A clear photo taken the same day is easy to read and easy to find later. For a long receipt, make sure the photo shows the merchant, the date, the total and how you paid.

Once a receipt is captured, decide what to do with the paper. Some people keep one envelope per month, others go fully digital. Our post on going paperless with receipts walks through that choice.

Keep everything in one place

Pick one home for every receipt and stick with it. That might be a single folder or an expense app, but it should be one place, not three. When you need a receipt, you should know exactly where to look.

If a partner or assistant also buys things for the business, ask them to use the same home and the same habits.

Categorize as you go

Sorting a few hundred receipts at year end is slow and tiring. Sorting one receipt on the day you get it takes seconds. Give each expense a category when you record it, such as office supplies, travel or software.

Keep the list short and match it to the categories your accountant already uses. Our business expense categories guide explains how to choose a list that fits.

Keep business and personal apart

A separate account and card for the business keeps every review short, as our expense tracking guide explains. When something is genuinely shared, such as a phone plan you use for both, add a note to the expense so it's easy to handle later.

Note the business purpose

A receipt shows what you paid and where. It rarely shows why. Add a short note when you record it:

  • "Lunch with a client to plan the spring catering order"
  • "Printer ink for client proposals"
  • "Postage to mail product samples to a new client"

It takes a few seconds now and saves a lot of guessing months later, when you no longer remember the details.

Handle email receipts and invoices

Online orders, software renewals and supplier invoices often arrive by email, so save or forward each one to your single receipt home on the day it arrives. Our post on going paperless with receipts covers email receipts and PDF invoices in more detail.

A short weekly routine

Pick the same time each week and set a reminder. Fifteen minutes on a Friday afternoon is enough for most small businesses.

Once a month: check against your statements

Once a month, open your business bank and card statements and compare them with your receipts. Look for a receipt behind each business charge, and for any receipt that has no matching charge.

A statement line shows an amount and a merchant, but not what you bought. If a receipt is missing, ask the seller for a copy now. It's much easier a few weeks after a purchase than a year later.

This check also catches surprises early, such as a subscription you forgot to cancel or a payment that went through twice.

When your accountant needs it: export your expenses

Whenever your accountant asks for them, for example every month or once a year, export your expenses to a spreadsheet with the date, merchant, category, amount and your notes. Your accountant gets one clean file instead of a box of paper, and you spend less time answering follow-up questions.

Ask your accountant how often they need your expenses, which format they prefer and how long they suggest keeping your records, since that depends on where you are and how your business is set up.

Keep a backup

A receipt system is only as reliable as its backup. Keep a second copy of your records in a different place, such as a yearly export saved to a separate drive or cloud folder. If your receipts live in an app, check what its export includes, since some exports hold only the expense details. Once in a while, open the backup and check that the files still open.

How Traackly helps

We built Traackly to be that one place. On Scale, you can forward email receipts and invoices to your own Traackly address, so they land next to the receipts you scan or upload, each expense filed with a copy of the receipt attached. Whenever your accountant needs them, export your expense details to CSV on every plan, or to Excel and PDF on Pro and Scale, while your receipt files stay in your account. See all features or read how Smart Scan works.
